Members and roles

Every member of a workspace has exactly one role. Roles build on each other: each one can do everything the role below it can, plus more. Access is checked on the server for every page and every action, not just by hiding buttons.

Roles

RoleWhat they can do
ViewerBrowse and read everything in the workspace: artifacts, diagrams, the application catalog, and the knowledge graph. Viewers can't create, edit, or comment.
MemberEverything a Viewer can, plus create artifacts, edit their own drafts (or drafts they co-author), comment on open RFCs, edit the diagram model, and add or edit applications in the catalog.
ReviewerEverything a Member can, plus be chosen as the reviewer for a proposed artifact and accept it, reject it, or request changes. Only Reviewers and above appear in the reviewer picker. See Reviewing and approving.
AdminEverything a Reviewer can, plus act on any artifact under review, manage artifacts and RFCs they didn't write, delete diagram model snapshots, and use the Administration area.
OwnerThe same access as Admin. The Owner role is reserved: it can't be assigned, changed, or removed from the Users & Roles page.

A workspace must always keep at least one Admin or Owner. ArchForge won't let you demote or remove the last one.

Open Users & Roles

Go to Admin → Users & Roles. The page lists every member with their name, email, and role, followed by any Pending invitations.

Invite someone

  1. Type their email address into the field at the top of the page.
  2. Choose a role from the dropdown next to it: Admin, Reviewer, Member, or Viewer. New invites default to Member.
  3. Click Invite.

ArchForge emails them an invitation to your workspace. Until they accept, the invite appears under Pending invitations with the role it grants. Once they accept and sign in, they appear in the member list with that role.

Revoke an invitation

Under Pending invitations, click Revoke next to the invite. The link in the invitation email stops working.

Change a member's role

Pick a new role from the dropdown in that member's row. The change is saved as soon as you select it. The dropdown is disabled for the last remaining Admin, and Owners are shown as plain text because their role can't be changed.

Remove a member

Click Remove at the end of the member's row. They lose access to the workspace immediately. You can't remove yourself, an Owner, or the last remaining Admin, so Remove isn't shown in those rows.

Removing someone doesn't delete anything they wrote. Their artifacts, comments, and version history stay in the workspace.

Signing in

Members sign in with the same ArchForge account across every workspace they belong to. Their role is set per workspace, so someone can be an Admin in one workspace and a Viewer in another.
